The short version. We collect only what we need to talk with you, book your sessions, and take payment. We do not sell your information. We do not share your story with anyone who is not helping us run this business, unless the law requires it. You can ask us to delete your information at any time.
The longer version is below, in plain English.
1. Who we are
Variance Analytics, LLC is a conflict coaching practice based in Manchester, New Hampshire, founded by Claire L. Doyle, MLS, MDR. We provide personalized conflict coaching for individuals and families.
Conflict coaching is not therapy, counseling, or a licensed mental health service. That distinction matters for your privacy, too. Because we are not a licensed healthcare provider, the information you share with us is generally not protected by HIPAA the way medical records are. We take your privacy seriously and protect it carefully, but we want you to understand what protection you are and are not getting. Please also read our Statement of Confidentiality, which explains in detail how we handle what you tell us.
When this page says “we,” “us,” or “our,” it means Variance Analytics, LLC. When it says “you,” it means anyone who visits our website, contacts us, or works with us as a client.
2. What we collect
Information you give us directly
- Your name, email address, and phone number
- Any message you write to us, including the free text box on our contact form where you can describe your situation
- Booking details, such as which consult or session you chose and the date and time
- Your text message consent choices, including when and how you gave them
- Anything you share with us during a session, or by email, text, or our website chat
Information collected automatically when you visit the site
- Basic technical information such as your browser type, device type, general location based on your IP address, the pages you visited, and how you arrived at our site
- Cookie data, described in section 6
Payment information
We do not see or store your full card number. Payments are processed by Stripe, which collects and holds your payment details directly. We receive only limited confirmation information, such as whether a payment succeeded, the amount, and the last four digits of the card.
3. Please be thoughtful about what you put in a form
Share enough for us to understand whether we can help you, and no more than that. A website form is a good place to say “my sister and I have not spoken in two years and I want to change that.” It is not the right place for detailed medical history, financial account numbers, or sensitive details about another person who has not agreed to be discussed.
If you have something sensitive to share, wait for the session. That is what the session is for.
4. Why we collect it
We use your information to:
- Respond to you when you reach out
- Schedule, confirm, and remind you about consults and sessions
- Deliver coaching services and prepare your Blueprint and session plans
- Take payment and keep accurate financial records
- Send you coaching tips, resources, and offers, only if you agreed to receive them
- Improve our website and understand which content is useful
- Meet our legal, tax, and accounting obligations
We do not use your story, your session content, or your Blueprint as marketing material. If we ever want to reference your experience publicly, even anonymously, we will ask you first and you are free to say no.
5. Who we share it with
We do not sell your personal information. We do not rent it, and we do not trade it.
We share limited information with the service providers who help us run the practice. Each is bound by its own privacy terms and is used only for the purpose listed:
| Service provider | What it handles |
|---|---|
| GoHighLevel, our website, booking, CRM, and messaging platform | Your name, email, phone, form messages, chat messages, booking history, text message consent, and our conversation history with you, plus basic statistics about website visits |
| Google Workspace, our business email, calendar, and file storage | Email correspondence, appointment times, and documents we prepare for you |
| Stripe, our payment processor | Your payment details and transaction history |
| Zoom, our video meeting platform | Your name and email when you join a video session |
We may also share information when:
- You ask us to, or give us permission
- We are legally required to, such as by a court order, subpoena, or lawful request from a government authority
- It is necessary to protect someone’s safety, as described in our Statement of Confidentiality
- We work with our own professional advisors, such as an accountant or attorney, who are bound to keep it confidential
6. Cookies and analytics
Our website uses cookies, which are small files stored on your device. Some are necessary to make the site, the booking calendars, and the chat work. Others give us basic statistics about how people use the site so we can make it better.
We do not currently use advertising or retargeting pixels, such as the Meta Pixel or the TikTok Pixel. If that changes, we will update this policy before we turn them on.
You can turn off cookies in your browser settings. If you do, some parts of the site may not work correctly. Because there is no common standard for browser “Do Not Track” signals, our site does not currently respond to them.
7. Text messages and email
We only text you if you give us permission, and we ask for two kinds of permission separately:
- Appointment and service messages. Booking confirmations, reminders, scheduling updates, and replies to your questions.
- Marketing messages. Coaching tips, new resources, and offers. This is optional. Consent to marketing messages is not a condition of any purchase.
Message frequency varies. Message and data rates may apply. Reply STOP at any time to stop receiving texts, or HELP for help. You can also contact us at (978) 955-9498 or [email protected]. Carriers are not liable for delayed or undelivered messages.
We do not share your mobile number or your text message consent with any third party or affiliate for their marketing or promotional purposes. Text messaging opt-in data and consent are never sold, rented, or shared, except with the service providers listed above that deliver our messages for us.
Every marketing email includes an unsubscribe link at the bottom, and you can use it at any time.
Please do not send urgent or emergency information by text, chat, or email. We do not monitor messages around the clock. See section 3 of our Terms and Conditions.
8. How long we keep your information
We keep client records while you are working with us, and afterward for as long as we need them for an accurate business record and to meet our legal, tax, and accounting obligations. After that, we delete them or remove anything that identifies you.
If you contacted us but never became a client, we keep your inquiry only as long as it is useful for following up with you, and we delete it sooner if you ask.
9. Your choices, and how to delete your information
You can ask us at any time to:
- Tell you what information we hold about you
- Correct anything that is wrong
- Delete your information
- Stop emailing or texting you
To make any of these requests, email [email protected]. We will respond within 30 days.
Two honest caveats. First, we may need to keep some records even after a deletion request, for example transaction records we are required to keep for tax purposes. Second, deleting your information may mean we cannot continue working with you.
If the law where you live gives you additional privacy rights, contact us and we will honor them as that law requires.
10. Security
We use reasonable safeguards to protect your information, including password protected accounts, limited access, and reputable service providers. No website or system is perfectly secure, and we cannot promise that a breach will never happen. If a breach affects your information, we will notify you as required by New Hampshire law.
11. Children
Our website is intended for adults 18 and older. We do not knowingly collect information from children through the website, and you must be 18 or older to book.
A minor may take part in family coaching only with the consent of a parent or legal guardian. When that happens, the information is collected through the parent or guardian, not through a child using the website. See section 6 of our Statement of Confidentiality.
12. Links to other places
Our website links to outside places, including our profiles on Instagram, TikTok, YouTube, and LinkedIn. Once you leave our site, their privacy policies apply, not ours. We are not responsible for how those platforms handle your information.
13. Changes to this policy
If we change this policy, we will update the date at the top of this page. If the change is significant, we will tell active clients directly.
